Per-Rep Capture Links: Knowing Which Salesperson Generated a Lead

Quick answer
A single company enquiry form records that a lead arrived but not who generated it, so attribution is reconstructed later from memory. Giving each representative their own capture link, and offering the same form as an embed for the company website, attributes every enquiry at the moment it is created rather than in a monthly argument about whose deal it was.
Most installers have one enquiry form. It sits on the website, it is shared on WhatsApp, and it is printed as a QR code on a site board. Leads arrive, and they are all attributed the same way: to the company.
Which is fine until you want to answer an ordinary question. Which of our people actually generates work? Which channel is worth repeating? Who should follow up this one?
Attribution reconstructed is attribution invented
When the form does not record the source, somebody assigns it afterwards. That assignment is a best guess made days later, and it quietly becomes the basis for commission conversations and for decisions about where to spend marketing money.
The data was available at the moment of capture. It was simply not recorded.
A link per person
The fix is unglamorous: give each representative their own version of the same form. Same branding, same questions, same destination pipeline, but the link carries an opaque reference that attributes the resulting lead to that person.
A few properties matter:
- The reference must not be an email address. These links go on business cards, flyers and QR codes. Publishing staff addresses to anyone who scans a site board is a real cost, and it is avoidable.
- It must fail open. If a link is mistyped or a person has since left, the enquiry must still be captured and simply attributed to the firm. A public form that rejects a genuine enquiry over a broken reference is worse than no attribution at all.
- It must survive. Links printed on physical material outlive redeployments, so the reference has to remain stable.
The form belongs on your own site
A shareable link covers WhatsApp, email signatures and printed material. It does not cover the most valuable placement, which is your own website.
An embeddable version of the same form drops into an existing page and inherits its styling, rather than sending a visitor off to a separate branded page and hoping they come back. The enquiry lands in the same pipeline, with the same attribution, and the visitor never leaves your site.
What this unlocks downstream
Once attribution is captured at source rather than reconstructed, source reporting becomes measurable in the unit that matters. Not leads, not even deals, but signed kilowatt-peak by channel and by person.
That is a much harder number to argue with than a spreadsheet built from recollection.
Frequently asked questions
What happens if two people work the same lead?
Attribution records who generated it. Ownership can be reassigned separately, and the history of both is kept, so credit for origination and responsibility for the deal do not have to be the same thing.
Can leads be routed automatically?
Yes, that is the natural next step: new enquiries assigned round-robin or by area so nobody has to distribute them by hand each morning.
Does the embedded form carry our branding?
Yes. It uses your colours and logo, and in embedded mode it drops the page chrome so it inherits the host page rather than looking bolted on.
